Trace My Build (“we”, “us”) is a shared record for a home-construction fund — transfers in, expenses out, receipts, and site photos, kept in one place for a project owner and the people they share access with. This page explains what information we collect, why, and who we share it with.
Trace My Build never holds, moves, or has access to your actual money. All transfers happen directly between you and whoever you're sending money to, using your own method — a bank wire, WorldRemit, Alipay, or anything else. We only record what you tell us happened.
Account information. If you create a project, your email address and authentication credentials are managed by our authentication provider, Clerk. We don't store your password ourselves.
Project and transaction data. Anything you or your guests enter — project name, transaction dates, amounts, currencies, categories, descriptions, and notes — is stored so the ledger stays accurate and shared.
Receipts and photos. Files you upload (receipts, site progress photos) are stored with our file hosting provider, Vercel Blob.
Guest access. Guests you share a project with don't create an account. They come in with an invite code (or link) you send, which works until you turn it off, or with a passcode you set. We store the name you give each invite so you can tell who is who, how many phones have used it, a hashed version of the passcode (never the passcode itself), and, briefly, the IP address of failed passcode or code attempts, solely to prevent guessing — those records are cleared automatically on a rolling basis. Turning an invite off signs out every phone that came in with it. A guest without an invite code can get a one-time code to carry their access from a phone's browser into the app; it works once and expires after 24 hours.
Payments guests log. If you allow a link to log payments, what that guest sends — the amount, date, what it was for, who was paid, a note, and a photo or PDF of the receipt — is stored apart from your ledger until you approve or decline it. Approving it adds it to your ledger with the guest's name beside it; declining it keeps it, with the reason you give, so the guest can see what happened.
Emails to you. We email you at the address you sign in with, through our email provider, Resend, and only about your own account and project:
Now and then we may also email you news about Trace My Build: something new in the app, or a request such as rating it. These are rare. Every one has an Unsubscribe link that stops them at once, without signing in, and unsubscribing changes nothing about your account or the emails above. We never pass your address to anyone else for their marketing.
Messages you send us. If you write to us from Help & support in the app, your message reaches our support inbox through Resend, with your name, the email address you sign in with, your project's name, your plan and the kind of device you sent it from, so we can reply and understand the problem. We keep it for as long as it takes to deal with.
Notifications on your phone. If you turn them on in the app, we keep a notification token for your phone — an identifier our push provider, Google Firebase Cloud Messaging, gives it — so we can tell an owner when a payment is waiting, when someone they invited first opens the build, when a guest adds a site photo, when the build has had nothing added for two weeks, and a couple of days before their free trial ends; and a guest when something new is added or a payment they logged is approved or declined. A notification carries the project's name, the name you gave the invite, a photo's caption, and the amounts and descriptions involved, and reaches an iPhone through Apple's push service. An owner's token is forgotten when they sign out of the app or delete their account; a guest's when they sign out or their invite is turned off. Notifications can be turned off at any time in the phone's settings.
Service provider profiles. If you make a service provider profile (Find a service provider), what you put on it — your name, business, the kind of work you do, where you work, languages, years of experience, when you can start, a photo and what you write about how you work — is public once your phone number is checked: on your profile page at tracemybuild.com/pros, which search engines such as Google can list, and to owners looking for a service provider in the app. Your phone number is checked with a code sent by text through Clerk, and is shown only to owners who save your profile or invite you, so they can message you. We show how many builds you're on, never whose they are or their figures. You can hide your profile at any time, which takes it off the site and out of search engines as they next check it, and deleting your account deletes it and takes you off every build you're on.
Finding a service provider. When an owner saves a service provider's profile, the service provider is told that an owner saved it, and where that owner is building — not who they are. When an owner invites a service provider, the service provider is told the build's name and where it is, by notification and email. If you tell us you need a service provider somewhere, we count it by place to know where to find more.
Quotes. When an owner asks for quotes, the service providers asked see the house as their estimate describes it (rooms, size, finishes, the ground, extras such as a wall or borehole), where it is, the phases to quote, when they'd like to start, any note and any plan they add — never the owner's name or the estimate's figures. A service provider's quote (their prices, dates, what's included and any written quote they add) is seen by that owner. Both are kept with the owner's project, and go when it's deleted.
Estimates. The answers you give on the Estimate page (country, place, rooms, floors, ground, finishes and the like) and the estimate worked out from them are stored with your project. A house plan you upload to be read is sent to our AI provider to identify the rooms and sizes, and is not kept by us afterwards.
Subscriptions. Subscriptions are bought through the App Store or Google Play, which take the payment; we never see your card details. Our subscription provider, RevenueCat, receives your account's ID and the purchase details from the store, so the app knows whether you're subscribed.
Activity log. We keep a record of edits and deletions within a project (what changed and when) so the project owner has an accountability trail. This is visible only to the project owner.
Usage analytics. We use Vercel Web Analytics for aggregated, privacy-preserving traffic data (e.g. which pages are visited) — it does not use cookies or track you individually across sites.
Where the app is used. To understand which countries the app is used in and on what kinds of phone, we look at totals only: the approximate country of each account's latest sign-in, which Clerk works out from the IP address, and the kind of device (for example iPhone or Android). We don't store it ourselves, we never look at your city, and it is never shown against your name.
When you use Muvaki — to log a transaction by describing it, or to ask a question about your fund — what you type, along with the specific numbers needed to answer you (never your full transaction history at once), is sent to our AI provider, Anthropic, to generate a response. The same applies to a receipt photo you ask it to read, and to a house plan you upload on the Estimate page. Anthropic processes this data to return Muvaki's reply. Under Anthropic's standard API terms, data submitted through the API isn't used to train their models.
Muvaki and plan reading are optional. If you'd rather not use them, you don't have to: the Estimate works just as well from answers you type in.
We rely on a small number of providers to run Trace My Build, each of which processes data only as needed to provide their service to us:
We do not sell your information, and we do not use it for advertising.
We keep your data for as long as your project exists. If you delete a project, its transactions, receipts, photos, activity log, and guest access are all removed along with it.
You can delete your whole account yourself at any time: open the account menu in the app and choose to delete your account. Doing so removes your project and everything in it — every transaction, receipt, site photo, and the activity log — not just your sign-in details. This cannot be undone, so export a backup first from Settings if you want to keep a copy. You can also contact us using the details below and we will do it for you.
We use a small number of cookies to keep you signed in: an authentication cookie set by Clerk for project owners, and, for guests, a signed cookie tied to the project they were given access to. A few more remember choices made in the app, on that device only: setup steps you skipped, whether this phone has notifications on, and a “Not now” for a couple of weeks. We don't use advertising or cross-site tracking cookies.
Trace My Build is not directed at children, and we don't knowingly collect information from anyone under 13.
If we make material changes to this policy, we'll update the date at the top of this page.
